Global HR and Recruitment Assistant

G&A // Madrid // Part-time

We are looking for an international recruiter and administrator for our Global Recruitment team. The ideal candidate will be able to demonstrate skills in interviewing, candidate management and sourcing across various countries. Being passionate about offering a great candidate experience and being diligent in refreshing and adhering to workflows, will ensure success in the role. Recording and documenting each step, creating, and managing the agreements and contracts for the recruitment drives locally in Madrid and in various countries around the world will suit a detail-oriented, communicative and organised person. 

This role is based at our office in Madrid on a part-time 20-hour-per-week basis, with some flexibility to work from home. 

What you’ll do: 

  • Ensure a great end-to-end experience for candidates and our hiring managers
  • Ensure operational efficiency in the recruitment flow
  • Update status of vacancies and policy documentation as required, including standard forms and email templates
  • Responsible for loading new positions onto Comeet and obtaining approvals
  • Support sourcing quality candidates as required
  • Post adverts on appropriate sourcing sites
  • Source candidates through social media
  • Check availability and schedule interviews
  • Conduct initial interviews
  • Create and update interview guides
  • Routine data maintenance throughout the recruitment lifecycle on our systems
  • Responsible for contract generation for new hires, freelancers and administration of changes for internal employees
  • Conducting reference check interviews
  • Provide support for ad hoc reporting requests as needed
  • Support Global Recruitment Director and Office Manager on administration duties as needed
  • Update and adhere to onboarding and offboarding workflows
  • Filter candidates using best match criteria

Requirements

What you’ll bring:

  • Strong verbal communication skills with the ability to manage internal and external communications with detailed support
  • Customer focus when engaging with internal stakeholders and candidates
  • Ability to perform administrative tasks with efficiency and ease (e.g. document management)
  • Ability to work effectively in a team-based environment.
  • Ability to multi-task, prioritize, and navigate ambiguity
  • Excellent attention to detail with a proven ability to problem solve
  • Bilingual level of English
  • Natural relationship builder and networker
  • Experience in interviewing candidates from various cultures and nations
  • Quick to understand job requirements and make profile matches
